Depending on how you use EmplooyX, we process the following categories of information:

• Account information — name, email address, phone number and password (stored only in hashed form by our authentication system).
• Business information — business name, logo, contact details, address, VAT or registration number, currency, language, timezone and settings.
• Employee information entered by customers — names, phone numbers, email addresses, start dates, hourly rates and wage history, working days and hours, advances and notes.
• Financial records entered by customers — daily expenses, offers and the client details written on them.
• Login and authentication information — sign-in times and session tokens needed to keep you signed in.
• Usage information — an activity log of important actions in an account (for example creating or deleting records) used for support and security.
• Device and technical information — if you turn on reminders, a push-notification subscription for that browser or device together with its timezone; and standard technical request data processed by our hosting infrastructure.

Businesses using EmplooyX decide which employee information they enter and why. The business is responsible for the information it submits, for its accuracy and for having a lawful basis and any required authorisation to process it, including informing its employees where required.

Employees listed in EmplooyX do not have their own EmplooyX login. EmplooyX processes this information on behalf of the business in order to provide the service.

• Providing and operating the service, including hour tracking, wage calculations, reports, offers and expenses.
• Authenticating users and managing accounts, plans, limits and trial periods.
• Sending reminders you have enabled.
• Responding to support requests.
• Keeping the service secure, detecting and preventing abuse.
• Maintaining and improving the reliability and quality of the service.

We do not sell personal information and do not use employee data for advertising.

We use reasonable technical and organisational safeguards, including encrypted connections, access controls that separate each business's data at the database level, restricted administrative access and private file storage for logos and images.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please keep your login credentials confidential and tell us promptly if you suspect unauthorised access.

We share information only where necessary:

• Service and infrastructure providers that host, store and deliver the service on our behalf, under appropriate obligations.
• Browser push services operated by your browser vendor, only when you enable reminders.
• Legal authorities when we are required to do so by law or valid legal process.
• Other parties where legally necessary, for example to protect rights, safety or the security of the service.

PDF reports and offers are generated on your own device; they are shared only if you choose to send them.

We keep information for as long as needed to provide the service, meet contractual and legal requirements, resolve disputes and enforce our agreements. Deleted employees are hidden from the interface but their past work records are kept so that historical reports remain accurate. When an account is deleted, its business data is removed except where retention is required for the purposes above.

Depending on the law that applies to you, you may have the right to:

• access the information we hold about you;
• correct inaccurate information;
• request deletion where applicable;
• export your business data (available in Settings);
• make other data-related requests or object to certain processing.

Employees whose information was entered by a business should first contact that business. We will assist businesses in responding to such requests.

EmplooyX does not use advertising or third-party tracking cookies. The app uses your browser's local storage to keep you signed in and to remember preferences such as theme and language, and a service worker so it can be installed as an app and receive reminders. Clearing your browser data removes this information.

We may update this Privacy Policy from time to time. The "Last updated" date shows when it last changed. Significant changes will be communicated through the service or by email where appropriate.
